The inspection management module is designed to assist companies in improving efficiency and reaping returns from inspections and from standardised activities to review performance and working practice. By utilising features such as checklists, auto-generation of actions and automatic alerts, users will secure a standardised, transparent and effective inspection process. Moreover, they will obtain relevant documentation and be able to analyse and benchmark developments over time.

To perform these assessments, a standard inspection methodology is supported together with a more specific process for behaviour-based safety (BBS). All information can be viewed across sites, business units and processes, making it easy to recognise and reward best-practice performers.
How it works!
Clients normally have a well-proven process for conducting and following-up inspections. Where this is the case, Synergi will simply be set up to match existing practice in order to improve efficiency, transparency and control of responsibilities.
Organisations looking to re-engineer their practices may find that Synergi’s standard “best-practice approach” is just what they are looking for. Even the standard Synergi Inspection Management module is designed to comply with international requirements and best practice related to inspection management “out of the box”. The module allows for the necessary tailoring to implement customer-specific preferences in terms of data capture, terminology, work processes, organisation, inspection workflow, screen layout, and so forth.
The Synergi inspection cycle covers everything from planning and execution to follow-up and analysis. Its inspection management process will help the client to achieve effective communication of notifications and findings. And it will be an efficient tool for streamlining the identification, verification and implementation of action plans and improvement initiatives.
Synergy’s standard inspection management process is based on the principle of different case types for planning, execution and follow-up of inspections or BBS assessments. These cases are linked to each other by using the connected-cases function.
When these cases are combined in the system, they constitute a hierarchy in which the inspection plan is at the top. Interactive links to several inspections contain detailed information about the specific inspection, the checklists used and the actions taken as a result of the findings.
By managing the full inspection process in Synergi, clients obtain a powerful tool for top-down planning and approval and for bottom-up verification and control. Throughout this process, ownership of all activities and elements is clearly defined. Typically, the site or business unit management will take ownership of the inspection plan while supervisors, process leaders and work leaders do the same for the inspections and distribute actions to the responsible parties.
The inbuilt checklist functionality is a powerful tool when performing inspections. An unlimited number of checklists and checklist items can be identified in the system for use with the various types of inspections. Items involving at-risk or unqualified findings are documented with additional information. Based on these data, actions are automatically generated with pre-filled information for due dates and responsible parties. Furthermore, Synergi is delivered with default functionality for user alerts and experience transfer. This means that any delays in plans or due dates can be detected, with automatic alerts sent by the system.
Online and updated reports
The versatile and powerful built-in Synergi search and reporting tool allows the user to perform searches across their entire database (in accordance with access rights), and to save and distribute favourite searches to other users or user groups. Users can easily generate complete inspection or BBS assessment reports and related improvement plans directly from the system, as well as periodical performance reports. All free text fields and code tables in the database are naturally fully searchable. Results are displayed in a number of flexible lists, views and HTML reports or exported to Excel for further processing if required.
