1. Dispatching the Sample
Procedures for Transporting Fuel Sample - Step 1

Place the bottle with the Ziploc bag inside the IATA carton and fold the box according to the Assembly Instructions given on the box.

Enclose the Chief Engineer's Report Form and a copy of the Bunker Delivery Receipt before closing the last flap on the IATA carton. The C/E Form should state clearly for whom the sample is being tested since both shipowner and/or charterer could claim credit for the sample if the situation is not clear.

IMPORTANT: Chief Engineer's Report Form must be fully completed and sent with the fuel sample and a copy of the BDR.

2. Use Correct Colour Label

Check the DNVPS Air Courier Directory and use the appropriate label for the forwarding box to ensure that the sample is delivered to the nearest DNVPS laboratory.

3. Chief Engineer's Instructions to Ship's Agent

Complete the courier dispatch instructions on the side of the forwarding box, as indicated in the Air Courier Directory.

Fill in the DNVPS Universal Account Number assigned by DHL. This account number is found in the DNVPS Air Courier Directory.

Complete the Pro Forma Invoice Form and tape it to the outside of the forwarding box.

The sooner the sample reaches the DNVPS laboratory, the faster you will receive the test results.

4. Urgent Dispatch by Ship's Agent

Hand the forwarding box to the ships agent immediately. Remind your shipping agent to call the courier company to pick up the sample urgently as soon as he gets ashore.

Ensure the agent has all the information necessary to dispatch the sample.

Stress the importance of PROMPT dispatch

OR

Call the courier company directly on the phone number indicated in the Air Courier Directory to request for URGENT pick-up.

When the courier arrives, you will need to complete an Airway bill.

Pickup can be arranged at the dock gate or stevedores office if the courier cannot board the ship.
